Microsoft Teams - Shifts

What is Shifts?

Shifts in the Microsoft Teams platform is a schedule management tool that helps you create, update, and manage schedules for your team.

  • Schedules - Create, edit, and manage a schedule with Shifts in Microsoft Teams. A Shifts schedule displays days at the top, team members appear on the left, and assigned shifts appear in the calendar.
  • Groups - Name a group like a job type or location to keep your groups organized.
  • Shifts - Choose where to add a shift. Create it from scratch, or copy an existing one.
  • Open shifts - Each schedule has an open shifts row. Add open shifts to your schedule that anyone can request.
  • Time Clock - Time Clock lets your team clock in and out of a shift with a mobile device.
  • Requests - Review requests for time off such as vacation, shift swaps, or offers.
  • Share - Once you're finished with a schedule, share it with your team so everyone is up to date.

How does the FHS Safety Office use Shifts?

The FHS Safety Office uses Shifts to manage and share our schedules within our department, which we find extremely valuable.

We used Shifts initiatially to manage our onsite activities during the COVID-19 pandemic, as an administrative control. We are continuing to use Shifts to keep our team members informed of each others' onsite vs. offsite days and activities in our new hybrid working arrangement.

We use Shifts to record vacation and other leaves which helps with planning work activities and coverage.

In the event of an emergency (such as a Fire) as we can easily identify where our team members should be and we know which personnel to connect with to ensure they are safe.

This video is a walkthrough example of how we set up Shifts in the Biosafety/FHS Safety Office.
